The Executive Assistant plays an integral role within the department.


Responsibilities include:

  • Calendar management for multiple directors and their direct reports
  • Coordination of meetings across global teams
  • Create and distribute communications to large global team through various media channels
  • Coordinate a seamless onboarding experience for new team members in department (s)
  • Create, plan and execute engagement program to ensure optimal team experience
  • Plan and coordinate department level events (e.g. team building events, retirements, parties, and conferences)
  • Own & manage office space assignment and associated tasks
  • Make department purchases as required
  • Travel: Coordinate travel arrangements, including flights (private & commercial - booking &
  • check-ins), hotels, and car rentals for executives and candidate interviews
  • Expenses: Oversee, analyze and process business invoices and expense reports
  • Communication: Compose correspondence and e-mails. Proofread documents.
  • Phone: Screen calls in a professional and courteous manner; transcribe voicemail messages

Experiencia y requisitos

Minimum Qualifications:

  • Excellent interpersonal and communication skills (oral and written) in English.
  • 5+ years of experience in similar positions
  • Excellent organizational skills
  • Attention to detail
  • Strong initiative and ability to work independent without a lot of oversite
  • Ensure confidentiality and discretion in all matters
  • Ability to work outside standard business hours to accommodate global schedules
  • Ability to travel 10% - 20%
  • Preferred Qualifications
  • Demonstrated creativity, ability to problem-solve and streamline processes
  • Strong working knowledge of Microsoft Office software, including collaboration tools.
  • Visa Passport
  • Sentri line would be a plus
